Welcome to COMS! These Terms and Conditions ("Terms") govern your participation in this event. By purchasing a ticket or attending COMS, you agree to be bound by these Terms. Please read them carefully before proceeding.
1. Eligibility and Participation
1.1. Who Can Attend: This event is exclusively for individuals working as in-house community managers or directly responsible for community-building within coworking, coliving, or hospitality companies. Attendance is not open to consultants, agencies, associations, or service providers. The event is not intended for service providers, recruiters, or similar entities. The organisers reserve the right to determine eligibility and may refuse participation at their discretion.
1.2. Age Requirement: Participants must be at least 18 years old unless accompanied by a legal guardian or expressly permitted by the organisers in writing.
1.3. Admission Rights: The organisers reserve the right to refuse entry or remove any individual for any reason, including non-compliance with these Terms, without refund.
2. Ticket Purchase and Registration
2.1. Online Sales: Tickets must be purchased through our official website coms.coworkies.com. All transactions are final upon payment confirmation.
2.2. Fees and Payment: Ticket prices are as listed on the website and are non-refundable unless otherwise stated. Payment must be completed at the time of purchase via credit/debit card.
2.3. Confirmation: Upon successful purchase, you will receive a confirmation email with your ticket (digital or printable). Present this at check-in in Brighton to gain entry. Lost tickets may not be reissued without proof of purchase.
2.4. Non-Transferable: Tickets are non-transferable unless approved in writing by the organisers at least 7 days prior to the event. Reselling tickets is prohibited and will void them.
2.5. Capacity and Waitlist: The event has a limited capacity. If sold out, a waitlist may be established, and waitlisted individuals will be contacted if tickets become available.
3. Code of Conduct
3.1. Behaviour: All attendees, speakers, sponsors, and staff must act respectfully and professionally. Harassment, discrimination, or abusive behaviour—whether verbal, physical, or online—will result in immediate removal without refund.
3.2. Event Rules: Participants must comply with all instructions from organisers, staff, or venue personnel in Projects, Brighton, including signage and verbal directives.
3.3. Media Consent: By attending, you consent to being photographed, video recorded, or audio recorded by the organisers. These materials may be used to promote the event, its outcomes, or future events on our social media, blogs, websites, and submitted to media outlets for coverage, unless you opt out in writing to hi@coworkies.com before the event begins.
3.4. 3.4. Cultural Awareness: Attendees are reminded that this is an international gathering with participants from diverse cultural and national backgrounds. What may be considered humorous or acceptable in one culture may not be received the same way by others. Please use discretion and kindness in your interactions, especially when joking or sharing stories. We ask everyone to approach conversations with empathy, openness, and a willingness to learn from one another.
4. Event Details and Modifications
4.1. Programme: The event, held in Projects, Brighton, UK, will include workshops, panels, networking opportunities, and catering. The full schedule will be provided prior to or at the event.
4.2. Changes: The organisers may alter the schedule, speakers, venue facilities, catering, or other elements due to unforeseen circumstances, with or without notice. Such changes do not entitle attendees to refunds unless the event is fully cancelled.
5. Cancellation and Refund Policy
5.1. Organiser Cancellation: If COMS is cancelled due to unforeseen circumstances (e.g., extreme weather, government restrictions), attendees will be notified via email and may receive a full or partial refund, or credit for a future event, at the organisers' discretion, in line with the Consumer Rights Act 2015.
5.2. Attendee Cancellation: Cancellation requests must be submitted in writing to hi@coworkies.com by 14 days before the event. Refunds, if applicable, will follow the refund policy on our website and UK consumer law. No refunds will be issued for late cancellations or no-shows.
5.3. Processing: Approved refunds will be processed within 30 working days to the original payment method.
5.4. Ticket Issues: Technical issues with online ticket purchases should be reported to hi@coworkies.com within 48 hours of the issue occurring.
6. Liability and Responsibility
6.1. Personal Belongings: Attendees are responsible for their own property. The organisers, venue, and sponsors are not liable for loss, theft, or damage at the event.
6.2. Assumption of Risk: Participation, including consumption of food and drinks, is at your own risk. The organisers are not liable for injury, illness, or loss, except where negligence is proven under UK law.
6.3. Third-Party Actions: The organisers are not responsible for the actions, statements, or conduct of attendees, speakers, sponsors, or the catering service.
7. Intellectual Property
7.1. Ownership: All event content, including presentations, materials, recordings, photos, logos, and branding, is protected by UK copyright and trademark laws and belongs to the organisers or their licensors.
7.2. Usage: Attendees may not record, reproduce, or distribute event content without prior written permission. Personal notes or photos for non-commercial use are permitted unless otherwise stated. The organisers may use recordings and photos for promotional purposes as outlined in Section 3.3.
8. Privacy and Data Protection
8.1. Collection: Personal data (e.g., name, email, job title, dietary preferences) collected during ticket purchase will be processed for event administration, communication, catering purposes, and follow-up, in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
8.2. Sharing: Data will not be sold or shared with third parties except as necessary for event delivery (e.g., ticketing platform, catering service) or as required by law.
8.3. Rights: You have the right to access, correct, or request deletion of your data. Contact hi@coworkies.com to exercise these rights.
8.4. Retention: Data will be retained for 12 months post-event, after which it will be securely deleted unless you consent to further retention. See our Privacy Policy for more details.
9. Health and Safety
9.1. Legal Compliance: The organisers are committed to ensuring a safe environment in Brighton in accordance with the Health and Safety at Work etc. Act 1974. Attendees must comply with all health and safety policies, including:
- Following venue-specific rules (e.g., fire exits, capacity limits).
- Adhering to any public health measures in place at the time (e.g., masks, social distancing), as mandated by UK government guidance or local Brighton authorities.
9.2. Risk Assessments: The organisers and venue will conduct risk assessments, including for catering, and implement necessary controls. Attendees must report hazards or incidents to staff immediately.
9.3. Emergencies: In an emergency, follow instructions from staff or venue announcements. Emergency exits and procedures will be clearly signposted and communicated.
9.4. Accessibility: We aim to make COMS accessible to all. Please inform us of any accessibility needs at hi@coworkies.com at least 10 days prior to the event.
10. Food and Drinks
10.1. Provision: Food and drinks will be provided at the Brighton venue through a catering service arranged by the venue. Menus will be determined by the organisers and caterers, subject to availability.
10.2. Dietary Requirements: Attendees should submit dietary needs (e.g., vegetarian, gluten-free, allergies) during ticket purchase or at least 7 days prior to the event. While we strive to accommodate requests, the organisers and catering service cannot guarantee all preferences will be met.
10.3. Allergens: The catering service complies with the Food Safety Act 1990 and Food Information Regulations 2014. Attendees with severe allergies must notify the organisers in writing and verify ingredients with staff before consuming. Allergen information will be available upon request.
10.4. Liability: The organisers and venue are not liable for illness, allergic reactions, or injury from food or drink consumption, except where negligence is proven under UK law. Report catering issues to staff immediately.
10.5. Alcohol: If alcoholic beverages are served, consumption is limited to attendees aged 19 and over, per venue policy. The organisers reserve the right to refuse service to anyone appearing intoxicated or disruptive.
11. Media and Publicity
11.1. Recording and Photography: The organisers will record audio, video, and take photographs during the event in Brighton. These materials may be used to:
- Promote the event and its outcomes on our social media, blogs, and websites.
- Submit to media outlets (e.g., newspapers, magazines, online publications) for post-event coverage.
11.2. Attendee Rights: If you do not wish to be featured in these materials, notify us in writing at hi@coworkies.com before the event. Otherwise, your attendance implies consent.
11.3. Third-Party Media: Media outlets attending the event may also capture content. The organisers are not responsible for their use of such materials.
12. Sponsors and Exhibitors
12.1. Disclaimer: Sponsors and exhibitors are independent entities, and their products, services, or views do not necessarily reflect those of the organisers.
12.2. Interactions: Any agreements with sponsors or exhibitors are between the attendee and that party; the organisers are not liable for resulting disputes.
13. Termination of Participation
13.1. Removal: The organisers may remove participants for breaching these Terms, disruptive behaviour, or non-compliance with safety, catering, or media instructions, without refund or compensation.
13.2. No Re-Entry: Removed individuals will not be permitted to return to the Brighton venue.
14. Force Majeure
The organisers are not liable for delays, cancellations, or failures to perform—including catering or media plans—due to events beyond their reasonable control, such as acts of God, pandemics, or supply chain disruptions.
15. Dispute Resolution
15.1. Informal Resolution: Contact hi@coworkies.com to resolve issues informally.
15.2. Legal Action: Disputes will be governed by the laws of England and Wales and resolved in the courts of England and Wales, given the event's location in Brighton.
15.3. Consumer Rights: Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.
16. Amendments
The organisers may update these Terms as needed. Changes will be posted on our website coms.coworkies.com or communicated via email and take effect immediately unless otherwise stated.
